# Connect Outlook to ChatGPT: work accounts and Outlook.com

> Connect work Outlook to ChatGPT with the Outlook Email app, or bring personal Outlook.com in through forwarding to Command Mail. Limits and a safe first test.

To connect a work or school Outlook account (Microsoft 365) to ChatGPT, open **Settings → Plugins**, pick the **Outlook Email** app and sign in; in many organizations an admin has to approve permissions and actions first.[^1] OpenAI does not say whether personal accounts such as outlook.com, hotmail.com or live.com work, and users report that they are rejected.[^3] For a personal account, the working route is forwarding to Command Mail, which you add to ChatGPT as a custom MCP server, with ChatGPT plan limits of its own.[^2]

Command Mail is our product. This guide starts with the direct route because it needs no second inbox. It is based on OpenAI and Microsoft help pages read on 2026-10-20 and on Command Mail's code. We have not run our own test with personal and work Microsoft accounts on every ChatGPT plan.

## Which route fits your Outlook account?

The account type decides. A work or school account belongs to a Microsoft organization (an Entra tenant), and ChatGPT's Outlook app is built around that organization's consent process.[^1] A personal Microsoft account has no such admin, and that is where users report the message that only work or school accounts are allowed.[^3]

| Question | Outlook Email in ChatGPT | Outlook through Command Mail |
|---|---|---|
| Account type | Documented for Microsoft organizations; personal accounts rejected per user reports | Any Outlook account that is allowed to forward automatically |
| What ChatGPT sees | The signed-in account's mailbox, plus shared or delegated mailboxes on request | Forwarded or imported copies |
| Who has to approve | Often an Entra admin and a ChatGPT workspace admin | You; a work organization may block external forwarding |
| ChatGPT plan | Depends on app availability for your account and workspace | Custom MCP server: Pro gets read and fetch only; full support on Business, Enterprise and Edu |
| Sending | Plain-text email from supported shared or delegated mailboxes, when enabled | Not from the Outlook address; only from a separate send-capable address on Command Mail Pro |
| Changes in the Outlook mailbox | Moving and marking, depending on enabled actions | No sync back |

## Prerequisites

For the direct route you need a Microsoft work or school account and a ChatGPT workspace where Outlook Email is offered and not disabled by an admin. Find out beforehand who in your organization grants Entra consent and who manages the ChatGPT workspace; they are often different people.[^1]

For the Command Mail route you need access to Outlook's settings in a browser, ChatGPT on the web, and at least ChatGPT Pro for read and fetch.[^2] On Command Mail, Free covers one mailbox, the last 90 days and no sending; Pro adds up to ten mailboxes, full history and sending for €19 a month for the first 100 paying accounts, €29 after that.[^8] ChatGPT Pro and Command Mail Pro are separate subscriptions, and upgrading one does not lift a limit in the other.

## Route 1: connect a work Outlook account directly

Check which ChatGPT account and workspace you are in before you start. OpenAI notes that adding another Microsoft account creates another app connection; it does not switch your ChatGPT workspace.[^1]

1. Open ChatGPT and confirm the account and workspace in the sidebar.
2. Go to **Settings → Plugins**, find **Outlook Email** and follow the step shown to connect it.
3. Sign in with the Microsoft account whose mailbox ChatGPT should use. In the Microsoft dialog, check the organization and the app; OpenAI names the verified app as **ChatGPT / OpenAI, L.L.C.**[^1]
4. If you see a message about missing admin approval, stop and contact IT. Only an Entra admin can grant the Microsoft permissions, for the whole organization, and the consent screen has no per-permission checkboxes.[^1]
5. Start a new chat, pick Outlook Email, for example with **@**, and begin with a small read-only task.

One point for IT: Microsoft consent does not enable anything in ChatGPT by itself. The ChatGPT workspace admin chooses the allowed read and write actions under **Plugins** in the admin console and decides whether new actions turn on automatically. Members may need to reconnect their Microsoft account afterwards.[^1]

A good first request: "Search my connected Outlook mailbox for the latest email with the subject Project plan. Give me sender, date and open questions. Don't change or send anything." OpenAI documents search filters such as `from:`, `subject:` and dates.[^1]

## What the Outlook Email app does, and where it stops

In your own mailbox, the app searches messages with subject, sender, recipients, timestamps and plain-text body, looks up people, and manages contacts when those actions are enabled.[^1] For supported shared or delegated mailboxes, OpenAI also lists browsing folders, marking read or unread, moving messages and sending plain-text email; you name the exact mailbox address in your request.[^1]

The known limits are specific. Broad searches or summaries can come back incomplete, so OpenAI suggests splitting long date ranges. Attachments from shared or delegated mailboxes can't be retrieved yet. Admins can restrict connections to approved domains, and Enterprise admins can exclude messages with certain sensitivity labels.[^1]

If a send or move stops halfway, check Outlook before you try again. OpenAI says an error does not confirm that nothing changed.[^1] Repeating a send blindly can mean a second email.

## Route 2: personal Outlook.com through Command Mail

For a personal account you set up receiving in Command Mail first and connect ChatGPT second. New mail arrives through forwarding; older mail can be brought in once from an export file.[^7]

1. Create a Command Mail account or sign in. Connect your Outlook address in the settings with **Connect a mailbox** and copy its private intake address.
2. In Outlook.com, open **Settings → Mail → Forwarding**. If two-step verification isn't on for your Microsoft account, Microsoft asks you to turn it on; if it is on, you verify your identity again.[^4]
3. Turn on **Enable forwarding**, enter the intake address, tick **Keep a copy of forwarded messages** so your Outlook mailbox stays complete, and select **Save**.[^4]
4. Send yourself a test message from another address. Command Mail shows the time of the last received message on the mailbox.[^7]
5. Check the new mailbox's autonomy in Command Mail. Without its own setting, a new mailbox follows the account default; if that isn't set either, it is **auto**. For a pure read test, set the mailbox to **read** explicitly. On **read**, an agent sends nothing from that mailbox, not even approved drafts. An agent with `mail:read` can still read every mailbox in the account.[^7]

Microsoft says forwarded messages appear to be forwarded from you, and replies go to your address rather than the original sender. Redirected messages keep the original sender.[^5] Command Mail shows the message's `From` header as the sender. If your test message shows your own Outlook address there, replace forwarding with a rule: **Settings → Mail → Rules → Add rule**, condition **Apply to all messages**, action **Redirect to** the intake address, then **Save**.[^5] Turn the plain forwarding off afterwards so mail doesn't arrive twice.

## Work accounts: when your organization blocks forwarding

Many Microsoft 365 organizations block automatic forwarding to outside addresses. The default setting, "Automatic - System-controlled", has behaved like "Off" since 2021 for new organizations and for existing ones that weren't actively using it.[^6] The forwarded copy is then not delivered, and the original sender gets a bounce with code `5.7.520`.[^6]

If you see that code, or the test message never arrives, ask IT. Allowing external forwarding is a security decision for the organization; don't work around it with rules or third-party tools. For work accounts, Route 1 is often the better fit because it uses the consent process your organization already has.

## Add Command Mail to ChatGPT

Command Mail connects to ChatGPT as a custom MCP server. OpenAI offers full MCP support with write actions only on Business, Enterprise and Edu; Pro users can connect custom MCP servers with read and fetch permissions only. OpenAI describes no route for Plus. Custom MCP servers are connected on the web, not on mobile.[^2]

1. In ChatGPT on the web, open **Plugins → + → Add custom MCP server**. Name it Command Mail, enter `https://commandmail.app/mcp` under **Connection**, and choose OAuth.[^2]
2. Read the risk warning, tick **I understand and want to continue** and select **Create as a plugin**.[^2] On Business, only admins and owners can create these connections.[^2]
3. In Command Mail's consent screen, keep only **Read and organize your mail** (`mail:read`) for a start. Switch off draft writing, sending approved drafts and mailbox setup if they are requested. **Send directly, without your approval** (`mail:send`) is off by default; leave it off.[^7]
4. Pick Command Mail in a new chat with **@** and ask for `capabilities` first. Compare account, permissions and mailboxes with what you intended, then search for the test message.

The **read** level and missing send permissions together are not a full write lock: `mail:read` alone includes, for example, label changes across the account. Don't treat the connection as technically read-only; phrase your first request explicitly as read-only.[^7]

## Did it work?

A connection is useful once it returns the right account and points to its sources. Look for a known, harmless message and compare sender, date and content with the original in Outlook. A plausible summary without a source is not a check.

With Command Mail, an old message that is missing usually just hasn't been imported. The test needs no sending and no deleting.

Sending from your Outlook.com address through Command Mail is not possible. Forwarding doesn't make the address send-capable; Command Mail reports send capability per address and checks it again at send time. On Pro you send from a separately set up address, for example on your own verified domain, preferably with `mail:send-approved` for the exact draft version you checked.[^7][^8]

## Troubleshooting

**"Personal accounts are not supported" or only work and school accounts allowed.** That matches user reports about personal Microsoft accounts.[^3] Borrowing someone else's work account is not a fix; use Route 2.

**Outlook Email is missing or disabled by admin.** Check workspace, role and domain restrictions. Microsoft permissions and ChatGPT actions are approved separately; if either is missing, the connection or the action fails.[^1]

**An action still doesn't work after approval.** OpenAI lists three checks: the action is enabled in the workspace, the Microsoft grant still exists in Entra, and the user's Microsoft connection was created or refreshed after the change.[^1]

**Nothing arrives in Command Mail.** Check the saved forwarding or rule in Outlook, look for bounce code `5.7.520` on work accounts, and compare the intake address character by character.[^6]

## Next steps

Start with a narrow search in one mailbox before you ask for summaries of whole weeks. Decide which account, which date range and read-only, and add permissions only when your workflow needs them. ## Frequently asked questions

### Can I connect a personal Outlook.com or Hotmail account to ChatGPT?

OpenAI's Outlook help article does not mention personal Microsoft accounts. Users on Microsoft Q&A report, most recently in April 2026, that the sign-in only accepts work or school accounts. We have not tested this ourselves. Try once; if it fails, forwarding to Command Mail is the fallback.

### Do I need an admin to use Outlook in ChatGPT?

With a work account, often two: a Microsoft Entra administrator grants the Microsoft permissions for the organization, and a ChatGPT workspace admin enables the actions. These are separate steps.

### Can ChatGPT send email from Outlook?

For supported shared or delegated mailboxes, OpenAI lists sending plain-text email, depending on Microsoft permissions and workspace settings. For your own mailbox the article mainly describes search and reading. Check which actions your workspace actually offers.

### Can Command Mail reply from my Outlook.com address?

No. Forwarding only sets up receiving. It does not make an Outlook.com address able to send. Reply in Outlook, or use a separate address that is set up to send.

### Do changes in Command Mail show up in Outlook?

No. Command Mail works on forwarded or imported copies. Archiving or sorting there does not change your Outlook mailbox.
