# ChatGPT Gmail connection not working? Find the cause and fix it

> Gmail missing in ChatGPT, Google sign-in errors, Disabled by admin or empty search results: how to find the layer that blocks the Gmail app and what to do next.

Updated: 2026-10-28 · Fact-checked: 2026-10-28 · Canonical: https://commandmail.app/en/learn/chatgpt-gmail-not-working · Deutsch: https://commandmail.app/de/wissen/chatgpt-gmail-funktioniert-nicht.md

When the Gmail app in ChatGPT does not work, check four places in turn: ChatGPT itself (plan, region, model, interface or workspace), Google's consent screen, an administrator on the ChatGPT or Google side, and the request you typed. This order is our own working aid. Read the exact message, fix the layer it points to, and avoid reconnecting over and over; OpenAI advises against that when a feature is unavailable for your account.[^1]

This page is for a Gmail connection that fails or behaves oddly. Setting it up from scratch is covered in [Connect Gmail to ChatGPT](https://commandmail.app/en/guides/connect-gmail-to-chatgpt). Everything below is based on OpenAI and Google help pages retrieved on 2026-10-28. We did not reproduce every error ourselves.

## Which layer is failing?

OpenAI separates finding an app, connecting an account, starting a request, finding a result, reading it and completing an action, and notes that a successful connection does not mean every later step will work.[^1] The table maps typical symptoms to the place to check first.

| What you see | Likely layer | First check |
|---|---|---|
| Gmail is missing under Plugins or in the @ menu | ChatGPT availability | Plan, region, model, interface, active workspace |
| Disabled by admin or Admin approval required | ChatGPT workspace admin; on a personal account see below | Plugin and app settings in the Admin console |
| All permissions are required | Google consent screen | Reconnect, approve every permission for the selected apps |
| ChatGPT needs all requested permissions | Google consent screen | Try again, then Select all on Google's screen |
| Authorization or admin approval error with a work account | Google Workspace admin | Whether the ChatGPT/OpenAI app is approved for the Gmail scope |
| Gmail shows Connected, but ChatGPT does not use it | Current chat, model or interface; Lockdown Mode | New chat, select Gmail explicitly |
| Search finds nothing or the wrong mailbox | Connected Google account, request | Which account is connected |
| Sending or changing mail fails | Action, approval, safety block | Exact message, then check Gmail before retrying |

## Gmail does not appear in ChatGPT

If Gmail is missing, check whether ChatGPT offers it for your current combination of plan, region, workspace, role, model and interface; OpenAI names all of these as availability factors.[^3] Open **Settings → Plugins** (very old mobile app versions show **Apps**) and look for Gmail or the plugin that contains it. A plugin can be listed in the directory without being installed, and an installed plugin can contain an app that is disabled, disconnected or missing Google authorization; OpenAI suggests opening the plugin details and refreshing before you trust a directory status.[^1]

Check which ChatGPT account and workspace is active. After switching between a personal account and a company workspace, check that the Google account you want is connected in the account or workspace you are using now. Voice conversations do not support every app, so test in a normal text chat first.[^1][^2]

ChatGPT sometimes shows a short availability message. OpenAI explains each one:[^1]

- **Not available on your plan**: the app's plan requirements are not met.
- **Admin approval required**: ask your workspace administrator to review the plugin and its app. The message does not mean a request was already sent.
- **Requires workspace setup**: an administrator has to configure the app first.
- **Requires a workspace**: switch to an eligible managed workspace if you have one.
- **Desktop only** or **Open in desktop app**: use the desktop app.

## Disabled by admin

In a company workspace, **Disabled by admin** means an administrator has to review the app and its plugin. OpenAI sends admins to the Admin console at admin.openai.com: select the workspace, open **Plugins** and check each required app separately, because changing plugin access does not automatically grant app access or complete Google's authorization.[^1] In Enterprise and Edu, role-based access can also block individual members.

On a personal account without an administrator, the same message does not by itself show that anyone blocked Gmail. OpenAI suggests checking plan, region, provider account, app version and interface, and contacting OpenAI Support if the message persists.[^1]

## Google rejects the connection

For the two permission messages, OpenAI names these steps. If ChatGPT shows **All permissions are required**, select **Reconnect** and approve every permission needed for the apps you selected. If it shows **ChatGPT needs all requested permissions**, select **Try again** and then **Select all** on Google's screen.[^2] To connect fewer Google services, use **Select fewer apps** in ChatGPT. For the apps you keep, every requested permission is still required.[^2]

For Gmail, OpenAI lists one Google scope: `gmail.modify`.[^4] It covers far more than reading. If that is more access than you want to give, stop at this point instead of approving everything just to make the error go away.

Also check the basics OpenAI names for failed connections: the intended Google account in the account picker, access to the mail directly in Gmail, and any approval your organization requires from its Google administrator.[^1]

## Work and school accounts: the Google admin decides

If you use a Google Workspace account in a managed ChatGPT workspace, two separate administrations can be involved, and they may be different people. The ChatGPT workspace admin decides which Google actions are enabled in ChatGPT. The Google Workspace admin decides whether the ChatGPT/OpenAI app is trusted or approved for the Google scopes those actions require.[^4] If a Gmail action is enabled in ChatGPT but its scope is not approved in Google, users can see an authorization, admin approval or permission error when connecting, reconnecting or using that action.[^4]

OpenAI warns that some Google OAuth flows fail before ChatGPT learns which scope was blocked.[^4] The error in ChatGPT can therefore look generic even when a specific Google setting is the cause. Admins should compare the actions enabled in ChatGPT with the scopes approved for the ChatGPT/OpenAI app in Google Workspace; for Gmail that is `gmail.modify`.[^4]

In the Google Admin console the setting sits under **Security → Access and data control → API controls → Manage Third-Party App Access**. Each configured app is **Trusted**, **Limited** or **Blocked**. A trusted app can reach all Google Workspace services, including restricted ones; a limited app only unrestricted services; a blocked app none.[^7] If Gmail is a restricted service in your organization, only trusted apps reach it. After a change, OpenAI recommends that users reconnect only once the scopes are approved or the blocked action is disabled.[^4]

## Personal account with Advanced Protection

If your personal Google account is enrolled in Google's Advanced Protection Program, Google stops some non-Google apps from accessing sensitive data such as Gmail; only verified third-party apps can access it.[^8] We have not checked how this applies to ChatGPT's Gmail app. If the connection fails only on such an account, look here first. Leaving Advanced Protection to make a connection work weakens your account's protection, so treat that as a separate security decision.

## Connected, but ChatGPT does not use Gmail

An app can show **Connected** and still be unavailable in the current chat, model or interface.[^1] OpenAI's steps: confirm the workspace and the connected Google account, check the app's requirements for the selected model and interface, then start a new chat and ask for one specific task, such as finding a message by its subject. Select Gmail with **@** or through the **+** menu; some interfaces put it under **More**.[^2]

Lockdown Mode is another cause. For personal accounts and self-serve Business accounts, it blocks live access to external services and app write actions where they conflict with its protections.[^6] In managed workspaces it works through roles and can restrict an app even when another role allows it. On eligible personal and self-serve Business accounts, you can turn it off for a single chat on the web through the **LOCKDOWN MODE** label in the composer. In managed workspaces, a workspace owner has to remove the member from a restricting Lockdown Mode role.[^6] It exists to limit data exfiltration through prompt injection, and email from strangers is a typical source of such content. OpenAI advises against turning off a security protection unless you understand the effect and are allowed to change it.[^1]

If app controls are still missing after these checks, OpenAI says not to keep reconnecting. Check status.openai.com and contact OpenAI Support with the steps you tried and the state you saw.[^1]

## Gmail is connected, but the message is not found

When search comes back empty, first check which Google account is connected. If the app supports several accounts, name the account in your request.[^1] A connection gives ChatGPT no more access than that Google account has, and a workspace administrator can restrict content further.[^1][^4]

Then narrow the request. Name the sender, a word from the subject and a rough date, and ask ChatGPT which message it used. For attachments, OpenAI notes that finding a file's name does not mean ChatGPT retrieved its contents; check the supported file types for your task.[^1]

## Sending, labelling or archiving fails

A connected app may read without being able to create, change, send or delete.[^1] OpenAI sorts failures by the message: an authorization or access error (account, Google permissions, admin consent), an unavailable action (the app or workspace does not support it), a required or pending approval, and an explicit safety block that no setting or saved approval overrides.[^1] Your permission setting (**Always ask**, **Allow read actions**, **Allow low-risk actions** or **Allow all actions**) only controls when ChatGPT asks before using access it already has. It never adds access.[^5]

If an action stopped halfway or the result is unclear, check Gmail before trying again. Look in **Sent** before resending an email, and repeat only the work you have confirmed is still needed.[^1] If you cannot tell what happened, OpenAI asks you to stop and contact support with what you observed.

## Starting over cleanly

To end a connection completely, disconnect on both sides. In ChatGPT open **Settings → Plugins → Gmail**; if **Connected accounts** appears, open the account's **•••** menu; otherwise use **Connection** or the plugin's **•••** menu. Then choose **Disconnect**.[^2] Disconnecting the last account can also remove associated plugins from your installed list. Existing chats and saved memories are not deleted automatically.[^2][^4]

On Google's side, open the linked apps page of your Google Account, choose **Access to your Google Account**, select the app, then **See details** and **Remove access**.[^9] If you want to use Gmail in ChatGPT again afterwards, connect once from ChatGPT and pick the account deliberately. Neither OpenAI nor Google presents this combined reset as the fix for a particular error message, so try the step that matches your message first.

## When another route makes more sense

Sometimes the Gmail app is the wrong tool rather than broken: your company does not approve ChatGPT for Gmail, or you want one agent to work across addresses from several providers.

Command Mail is our product and one such route. You forward mail from Gmail to a private Command Mail address, and agents such as Claude, Codex or ChatGPT work with the copies through its MCP server.[^12][^13] Changes in Command Mail do not sync back to Gmail.[^13] When you connect an agent, you can switch off every permission, and sending without approval starts switched off. The free plan has one mailbox and the last 90 days and does not send.[^12]

Two limits apply. In ChatGPT, OpenAI offers custom MCP servers with full support only on the web for Business, Enterprise and Edu; Pro can connect custom MCP servers with read and fetch permissions only, and Plus is not listed.[^10] And a Workspace admin can turn off automatic forwarding or limit it to internal addresses; when it is off, the forwarding option is missing from Gmail settings.[^11] Forwarding work mail is not a way around your organization's rules, so ask the admin first.

## Frequently asked questions

### Why don't I see Gmail in ChatGPT?

OpenAI ties app availability to plan, region, workspace, role, model and interface. Check Settings → Plugins, make sure the plugin is installed and that you are in the account or workspace where you expect Gmail. Voice conversations do not support every app, so test in a text chat.

### What does Disabled by admin mean on a personal account?

On a personal account without an administrator, OpenAI says the message alone does not prove that someone blocked the app. Check plan, region, Google account, app version and interface, and contact OpenAI Support if it persists.

### Why does Google ask me to approve all permissions?

For every Google app you select, all requested permissions are required. For Gmail, OpenAI lists the scope gmail.modify. You can connect fewer Google apps with Select fewer apps; if Gmail's access is more than you want to grant, stop there.

### What does my Google Workspace admin need to do?

The admin has to trust the ChatGPT/OpenAI app or approve the Google scope that the enabled Gmail actions need, in the Admin console under Security → Access and data control → API controls. Alternatively, the ChatGPT workspace admin can disable the action. Reconnect once that is settled.

### Should I just disconnect and reconnect until it works?

No. OpenAI advises against repeated reconnecting when a feature is unavailable for your account or interface. Use the exact message to find the layer, check service status and contact OpenAI Support with the steps you tried.
